These Terms of Service ("Terms") govern the use of the DocZoom app, that is the web app and the desktop app (macOS and Windows) through which the people of a customer organisation use their own DocZoom installation. For the DocZoom Word add-in, the DocZoom Word Terms of Use also apply.

2. Who DocZoom is for
DocZoom is a service for professionals and businesses, not for consumers. Each customer organisation has its own dedicated installation. You use DocZoom with an account given to you by your organisation: your use is also governed by the contract between your organisation and Hoplo and by your organisation's rules.
3. Accounts and access
- Use only the accounts and installations you are authorised to use.
- Keep your credentials confidential. You can also sign in with your Google or Microsoft account, if your organisation allows it.
- Do not try to get around security, licensing, usage limits or access controls.
4. Connected third-party accounts
You can connect third-party accounts, for example Google or Microsoft, in Sources or in the Connectors panel. The assistant reads these accounts only when you ask it and proposes actions in your name (for example sending an email or creating an event): each action is carried out only if you approve it, and you are responsible for what you approve. You can disconnect an account at any time. The use of third-party services is also governed by their terms. How we handle the data of your Google accounts is explained in the app Privacy Policy.
5. Your content
Documents, messages, questions, answers and other content you handle with DocZoom remain yours or your organisation's. Hoplo processes them only to provide, protect and support the service, as set out in the contract, the data processing agreement (DPA) and the app Privacy Policy. Hoplo does not sell content. Data received from your Google accounts is never used to train artificial intelligence models.
6. Acceptable use
You must use DocZoom only for lawful professional purposes and handle only content you have the right to handle, respecting confidentiality, professional secrecy and data protection rules.
You must not use DocZoom to create unlawful, harmful or misleading content, or to make fully automated decisions about people where the law forbids it or without the required safeguards.
7. AI answers
The assistant's answers may contain errors or be incomplete. Check them, together with the cited sources, before relying on them. DocZoom supports professional work but does not replace it, and does not give legal advice unless agreed in writing.
8. Availability and updates
Hoplo provides the service with reasonable care under the contract. The service may be unavailable because of maintenance, updates, incidents, network issues or third-party services. Hoplo may update the app to improve security, performance and features.
9. Suspension and end of service
Hoplo may suspend or limit access where needed to protect the service, comply with the law, prevent abuse or handle security risks. When the contract with your organisation ends, access to DocZoom may end. Data export and deletion follow the contract and the DPA.
10. Warranties and liability
Except as set out in the contract, DocZoom is provided without a warranty of uninterrupted or error-free operation. To the extent permitted by law, Hoplo is not liable for indirect damages. Rights that the law does not allow to be excluded remain unaffected.
11. Changes to these Terms
Hoplo may update these Terms. The version in force is always on this page, with the date of the last update.
12. Governing law and courts
These Terms are governed by Italian law. For business customers the competent court is Milan, Italy, unless the contract provides otherwise.
